In-person events are limited to 10 people, including the facilitator, and must be held outdoors or in a facility substantially open to the outdoors and with good airflow. Following are guidelines for in-person meetings, to be shared with all participants.
SAFE EVENT GUIDELINES
The following guidelines are intended to keep all participants safe during facilitated events. Please adhere to them while participating in the event for your organization. In addition, infrastructure will be set up to allow 35 sq. ft. per participant during sessions. This will allow appropriate distancing even as participants move around the space, and between others.
Before You Attend
- Take your temperature and assess yourself for COVID-19 symptoms. If you are experiencing any symptoms, or have been around someone who is, please refrain from attending the event. You may call 503-709-1148 or your organization’s preferred number to advise about attendance.
What to Bring
- Personal mask
- Hand sanitizer
- Sanitizing wipes
- Notepad and pen, plus clipboard, magazine or tray/table in case individual tables are unavailable at the meeting site, leading to use of chairs only.
- Copies of all event materials sent to you in advance, either in printed form or downloaded on your personal device. (Note: internet access may not be available at the venue.)
- Your own food and beverages for consumption during the event, e.g. snacks, lunch, coffee, water, etc.
Upon Arrival
- Upon arrival at the venue, please wear your mask as you approach the meeting site and until you are seated in your selected space (chair and/or table).
- Look for signage that may affect your entrance to the event, or that may provide other guidance.
- Select only spaces that have been designated for participants and which will be spaced appropriately apart. Please do not move tables or chairs.
- Wipe down the space you select with sanitizing wipes prior to being seated.
During the Event
- You may remove your mask once seated, if you prefer. Please wear your mask whenever you are moving around the event venue.
- Feel welcome to get up and move around during the session, but maintain a minimum of six feet between you and other participants at all times.
- If moving into small groups for breakout sessions, pay particular attention to where people are walking and speak with other participants about your and their intentions in order to maintain distance. Use the pre-set areas, wiping your chair and/or table with sanitizing wipes prior to sitting down.
- When using any facilities, wipe down any surfaces you touch with a sanitizing wipe as you enter and again as you leave. (For example, in the restroom wipe door handles, light switches, toilet seat and faucets.) When possible, leave doors open, such as those to restrooms between use.
- Please close the lid prior to flushing a toilet.
- Wash your hands properly and frequently.
After the Event
- Replace your mask and continue to follow distancing practices until you are safely away from the venue.
